Pre-Arrival
Although you will receive a comprehensive Pre-Arrival Pack prior to your child’s arrival, we have highlighted some important information below:
Pre-Arrival Webinar
- We encourage you to attend the pre-arrival webinar with our team, usually held around four weeks before arrival.
- The webinar provides all the information and guidance you need to travel confidently to IMPACT Summer.
Final Payments
- Please ensure any outstanding fees are paid at least eight weeks before arrival.
- Payments can be made via Stripe on our website. Alternatively, you may contact Ella at impact@tonbridge-school.org to arrange a bank transfer.
Travel Details
- If your child is using our transfer service, please send full flight details to Ella at impact@tonbridge-school.org as soon as flights are booked, and well in advance of arrival.
- For children travelling as Unaccompanied Minors (UM), please provide the airline’s UM documentation and notify us well ahead of time.
Medical, Welfare & Consent Forms
- All parents must complete our Pre-Arrival Questionnaire and Consent forms, including Medical, Welfare, Supervision & Consent Forms.
- A downloadable PDF version will be sent approximately nine weeks before arrival.
IMPACT Skills Forms
- If your child has registered for Flight School, Horse Riding, Golf, Rock Climbing, British Canoe Discovery Qualification, or Parkour, please complete the relevant forms so our instructors can prepare accordingly.
Important Documents
Please send the following items to impact@tonbridge-school.org after registration:
- A passport-style student ID photo (for their on-site ID card)
- A copy of your child’s passport (photo page)
- A Letter of Consent to Travel. Students must also carry a printed copy when travelling to the UK
Letter of consent to travel
Arrival
Students should arrive on campus between 11:00 and 15:00 (UK time) on either Monday 6 July or Monday 20 July, depending on their programme dates.
If you are not using our airport transfer service, the recommended arrival time is around 12:00 noon on Monday.
Transfer Service
We offer a safe and friendly transfer service from all major London airports, Gatwick, Heathrow, Stansted, and Luton, as well as from central London stations, including London St Pancras International, directly to Tonbridge School.
An IMPACT Summer representative will be waiting in the arrivals area, clearly visible with a branded sign displaying your child’s name. Around two weeks before arrival, we will provide you with the name and contact details of this representative for your reassurance.
- Free Transfers: Available from Gatwick Airport for arrivals between 09:00 and 17:00.
- Out-of-Hours Transfers: Additional Gatwick transfers may be available for a fee of £100 (one way).

Departure
Students should depart between 09:00 and 12:00 (UK time) on either Sunday 19 July or Sunday 2 August, depending on their programme dates.
If you are collecting your child in person, the recommended collection time is 10:00 on Sunday.
Student Release
- Students will only be released to a named parent or legal guardian.
- If someone else will be collecting your child, please send a signed letter of authorisation in advance to Ella at impact@tonbridge-school.org.
- We will request photo identification from anyone collecting a student.
Departure Transfer Service
Our team will provide full support to ensure a smooth departure. Staff will:
- Assist students with check-in procedures
- Ensure they know their departure gate number
- Accompany them to the security entrance, remaining until the student has safely passed through
- Free Transfers: Available for departures from Gatwick Airport.
